03 Do we need an AV design and site assessment before installation?

The design stage can then document the equipment, cabling, control workflow and installation requirements before work begins. This reduces the likelihood of hidden infrastructure problems or equipment that does not suit the room.

04 Can we reuse our existing displays, speakers or cabling?

Yes, where the existing equipment is reliable, compatible and suitable for the new system. Masters Voice Technology can assess existing displays, speakers, microphones, cabling, racks, control equipment and network infrastructure.

Equipment that remains serviceable can be retained or integrated into a staged upgrade. Unsupported, unreliable or incompatible components will be identified before the installation scope is finalised.

05 Should we install a Microsoft Teams Room or use BYOD?

A dedicated Microsoft Teams Room provides a consistent room-based experience with calendar integration, one-touch meeting join, managed room hardware and a standard interface. It is often the better option where Teams is the organisation’s primary collaboration platform.

BYOD allows a user to connect their own laptop to the room’s camera, microphones, speakers and display. It can suit organisations that regularly use different meeting platforms or host external users.

Many rooms can be designed to provide both a native room system and controlled BYOD access.

06 Can one meeting room support Teams, Zoom, Google Meet and Webex?

Yes, but the correct approach depends on the organisation’s primary platform and the level of interoperability required. A room may use one native conferencing platform and provide compatible guest-join functionality or BYOD access for other services.

The room should be designed so users do not need to disconnect cables or reconfigure the installed AV system whenever an external meeting platform is used.

07 How do you make sure everyone can be seen and heard clearly?

Camera, microphone and speaker coverage must be designed around the room dimensions and seating layout. The camera needs an appropriate field of view, while microphones must capture every participant without relying on someone sitting close to a single device.

Larger or acoustically challenging rooms may require multiple microphones, ceiling arrays, distributed speakers, digital signal processing and acoustic echo cancellation. The completed room should be tested and tuned before handover.

08 Do you provide the electrical, data and network cabling needed for AV?

The project can include display power, equipment circuits, floor boxes, network outlets, structured cabling, containment, rack infrastructure and the connections required for AV control, conferencing and networked audio visual systems.

The installation period depends on the number and complexity of rooms, construction readiness, equipment availability, programming requirements and whether electrical or data work is included.

Individual meeting rooms may be delivered within a relatively short installation window, while boardrooms, divisible spaces and multi-site programs require a coordinated project schedule. Work can be staged or scheduled outside normal operating hours where required to reduce disruption to staff and meetings.

11 What support is available after the AV system is installed?
